School Administrative Coordinator

Position: School Administrative Coordinator (part time)
Reports to: Head of School
Location: Good Dharma International School

Role Summary

The School Administrative Coordinator plays a central role in supporting the smooth and professional functioning of Good Dharma International School, with a primary focus on communication, coordination, and administrative excellence.

This role is responsible for managing communication with parents and external stakeholders, overseeing accurate student records and school systems, invoicing and financial administration. The Coordinator ensures that all administrative processes are handled efficiently, with a high level of organisation, attention to detail, and professionalism.

In addition, the role carries clear responsibility for the school’s communication and marketing channels. This includes managing social media platforms, creating engaging content through photos, videos, and updates, and supporting broader marketing initiatives such as newsletters and campaigns. The Coordinator plays an important role in strengthening the school’s brand presence, visibility, and enrolment through consistent and thoughtful communication.

The position requires a high degree of independence and ownership. The School Administrative Coordinator is expected to manage their responsibilities proactively, take initiative, and identify opportunities to improve systems, communication, and internal processes. A key part of the role is contributing to the ongoing development of the school by refining procedures, supporting structure, and helping build efficient and scalable ways of working.

Working closely with the Head of School and teaching team, the Coordinator supports the overall rhythm of the school and contributes to a positive, well-organised environment. Flexibility is important, including the ability to step in and support teaching when required.

Key Responsibilities

Communication & Correspondence

  • Manage the school email inbox, enquiries, and all incoming communication in a timely and professional manner.

  • Liaise with parents, staff, and external partners to share updates and relevant information.

Student Management System

  • Maintain accurate student records and update enrolment information.

  • Ensure attendance, schedules, and reports are up to date in the system.

Invoicing & Accounting Support

  • Generate and send invoices to parents on time.

  • Record and track payments and follow up on outstanding balances.

  • Assist with basic bookkeeping tasks and monthly financial reporting.

Operational & Administrative Support

  • Assist the Head of School with scheduling, planning, and coordination of meetings and events.

  • Maintain filing systems, staff records, and school documentation.

  • Order and manage school supplies and resources.

Social Media, Marketing & Communications

  • Manage the school’s social media accounts and ensure consistent, high-quality content.

  • Capture photos and videos of daily school activities.

  • Create and post regular updates, stories, and announcements across platforms.

  • Assist with wider marketing tasks and projects, including newsletters, campaigns, and promotional materials.

  • Collaborate with the Head of School to ensure aligned messaging, branding, and tone of voice.

Event Coordination, Marketing & CSR Projects

  • Plan, organize, and execute school events, parent engagement activities, and community initiatives.

  • Support marketing and promotional aspects of events to increase visibility and enrolment.

  • Support CSR initiatives by coordinating with staff, parents, and local partners.

Qualifications & Skills

  • Excellent organizational and communication skills.

  • Strong English proficiency (spoken and written).

  • Comfort with digital tools and school management systems.

  • Basic accounting or bookkeeping knowledge preferred.

  • Flexible and collaborative mindset, with the ability to support in multiple areas.
